Safety Suite helps you create workplace safety assessments, safe working instructions and incident records. This policy explains how the iPhone and iPad app handles information.
Craytonium does not collect, receive or have access to the assessments and accident records you create through the app. These records are stored locally on your device. Recording information in Safety Suite does not send that information to Craytonium. You or your organisation manage the information entered into these records. The optional external chemical lookup, sharing and device backups are explained below.
Information you enter
The app processes information you choose to enter or import, including company details and logos, assessor and reviewer names and roles, workplace assessments, safety data sheets, sign-off details, and accident or near-miss records. Incident records may contain names, contact details, witness information, and sensitive information about injuries or treatment.
The app uses this information on your device to provide its document creation, review, storage and export functions. Craytonium does not receive this information simply because you enter it in the app. Enter only information needed for your work and that you are authorised to record.
Local storage
Assessments, incident records, imported safety data sheets, company profiles, saved reports and preferences are stored on your device. Safety data sheet text extraction and report generation take place on the device. The app does not require an online account or automatically upload these records to a publisher-operated server.
Your device’s backup settings may include app data in an iCloud or computer backup. Backup handling is separate from the app and is governed by your device settings and the relevant provider’s terms.
Optional chemical lookup
When you choose the PubChem chemical identity lookup, the app sends the CAS number entered in the assessment, or the substance name if no CAS number is entered, to PubChem, a service of the US National Institutes of Health. It may then request synonyms for the matched compound.
PubChem receives the search query and normal connection information, including your IP address. The app does not attach your assessment, incident record, company profile or safety data sheet to this request. However, anything entered in the substance-name field may be transmitted if that field is used for the lookup. Do not put personal information or confidential workplace details in a lookup query.
The lookup is optional; you can continue creating records without using it. Requests are sent to an external US government service and are subject to its privacy practices. See NCBI’s privacy information.
Sharing and exports
You decide whether to export, print or share documents. Reports may include personal information, incident details, company information and assessment evidence entered in the app. Check a report before sharing it.
If you select email, a cloud drive, a document provider or another app as an export destination, that service handles the exported copy under its own privacy practices. Safety Suite does not automatically submit incident records to regulators.
Advertising and tracking
The app does not contain advertising, advertising tracking or third-party analytics SDKs. It does not sell personal information. Apple may separately process App Store, diagnostic or usage information under its own policies and your settings.
Retention and deletion
The app does not automatically expire records. You can delete saved assessments, safety documents, incident records and generated reports using the available library controls, and clear saved person presets where that option is provided.
Deleting a record does not necessarily remove its retained source safety data sheets, issued safe-system-of-work snapshots, generated reports, exports or backups. Some retained local files do not have an individual deletion control. Deleting the app removes its local app container; offloading the app preserves its documents and data. Copies in backups, cloud storage, other apps or recipients’ systems must be managed separately.
Follow your organisation’s retention requirements before deleting workplace records. The publisher cannot remotely retrieve or delete records held only on your device.
Security and workplace responsibility
Safety Suite uses iOS app storage protections and applies additional iOS file protection to saved incident-record files. This protection does not automatically extend to exported copies or their destinations. Protect your device with a passcode and restrict access to sensitive records.
You or your organisation are responsible for the personal information entered into accident forms, including deciding what information is necessary, who may access it, and how long it should be retained. If your employer or organisation uses the app to record information about people, that organisation determines the purpose of those records. Its own privacy notice should explain those arrangements. Requests to access, correct or delete workplace records should be directed to the organisation holding them.
Contact and changes
For questions about the app’s privacy practices, contact info@craytonium.com. If you choose to email us, we receive the email address and information you include in your message; this is separate from the records stored in the app. Do not send identifiable incident records or sensitive health information unless needed to resolve your request and appropriate sharing arrangements have been agreed.
This policy may be updated when the app’s features or privacy practices change. The date above identifies the latest revision.
